Operations Supervisor
My client in the Llantrisant area is looking for an experienced Team Leader / Operations Supervisor. The role primarily involves rostering, book-on/off, missed check calls, staff absence and holiday management and customer Interface. Please note that you will be working on a 4 on, 4 off shift pattern that involves night shifts.
Purpose of role.
The primary purpose of this role is to roster all site and customer requirements.
Management of defined operational rostering to meet the area's requirements.
To assist the Contract Managers & site based operational staff in ensuring compliance with all statutory, company and contractual requirements.
Key Responsibilities
Through a customer 'helpline' approach, 'first line' response is provided to site based staff to resolve issues raised such as, pay queries, uniform requirements, holiday bookings etc., and to liaise with the relevant Contract Manager.
Ensure holidays for site based staff is only authorised in line with entitlement and maintenance of site manning levels.
Ensure customer complaints, observations or non compliance's are captured, documented and passed to the relevant Contract Manager.
Working with Contract Managers to ensure all sites are manned and rostered within the Timegate system, in line with contractual requirements and short notice absences.
In conjunction with the relevant Contract Manager define & record on the 'Timegate' system when check calls will be made.
Monitor, reduce and manage schedule changes, Missed Check Calls and non Book On's/Off's, liaising with the Contract Managers to meet required targets.
Schedule all activity within the 'Timegate' system in accordance with BS 7499, at least four weeks in advance, in consultation with Contract Managers.
Maintain 'Timegate', covering training, banned and diary events for all staff. Update Timegate rosters daily to reflect what has been worked.
Complete Shift Arbitration's on a daily basis.
Manage short notice employee absences in a quick and efficient manner by placing properly trained and experienced relief officers into the appropriate site / roster.
Ensure full understanding of escalation procedures for incidents at customer premises to meet obligations under the Contract Assignment Instructions and/or legislation.
Ensure the practices of Continuous Improvement and recognition are supported.
Ensure Contract Managers, Area Operations Managers, and Retail Account Managers are continually appraised of all relevant issues.
Produce the weekly site work list and resolve any anomalies with the relevant Contract Manager.
Develop & maintain close and co-operative relationships with all appropriate colleagues in particular staff and other Managers, as required.
Act as principal communicator to all internal / external customers.
To engage in any other activities requested by the Operations Support Team Leader.
Key Skills required for this role
Experience of operating in a highly regulated and highly scrutinised area that has significant impact on an organisation's reputation
People / team experience - particularly of professional staff and cross-disciplinary teams.
Good written and verbal English
Working knowledge of Microsoft Office
Valid driving licence
